Position Summary
The Construction Coordinator supports construction projects by managing administrative and organizational functions, including price checking, supplier cost analysis, and ensuring efficient execution and accurate record-keeping. This role serves as a key liaison between site staff and project managers while supporting the overall effectiveness of the construction department. The position reports to the Senior Manager, Construction & Operations.
Position Responsibilities
• Review, verify, and reconcile construction invoices by attaching appropriate purchase orders and confirming pricing accuracy prior to submission
• Provide vacation and absence coverage for department administrators and coordinators to ensure continuity of operations
• Act as a key point of contact for effective communication between site staff, project managers, trades, suppliers, and consultants
• Support and implement departmental systems, policies, and procedures to enhance operational efficiency and consistency across projects
• Perform a wide range of administrative functions, including drafting professional correspondence, scanning, photocopying, filing (both electronic and hard copy), and processing courier packages
• Organize and maintain comprehensive construction files and binders, ensuring all correspondence, drawings, contracts, and supporting documentation are accurately filed and easily accessible
• Maintain and update vendor and trade databases, tracking extras, change orders, and relevant project details for all contracted trades
• Maintain detailed and well-organized electronic records for short-paid invoices and back charges, ensuring timely updates and audit-ready documentation
• Order, receive, distribute, and organize construction plans and drawings for site and office staff, verifying completeness and version accuracy
• Prepare, track, and submit change orders for management review and approval, ensuring all supporting documentation is complete, accurate, and properly authorized
• Support the ongoing growth and optimization of the companys supplier network by researching new vendors, conducting price comparisons, and assisting with best-cost analysis
• Collaborate closely with members of the administrative team to ensure seamless document flow, correspondence tracking, and timely receipt of project materials
• Coordinate monthly cheque distribution in accordance with internal controls and company procedures
• Perform other related duties as assigned to support the Construction & Operations team
Experience & Qualifications
• Education:University degree or diploma in a relevant field would be an asset
• Experience:2+ or more years experience working in an office environment, 1+ year in Construction an asset
• Ability to use initiative and self-managing skills to work independently and respond effectively to issues that arise
• Demonstrated ability to independently learn and perform job functions using written instructions as the primary training resource.
• Keen focus on providing excellent customer service
• Strong organizational and problem-solving skills
• Ability to effectively collaborate with all levels of the business and develop/sustain cooperative working relationships with internal staff, vendors, and external contacts
• Ability to adapt to different communication styles
• Ability to communicate effectively, both oral and written; ability to exercise confidentiality
• Ability to allocate time effectively, work under pressure and manage tight deadlines
• Ability to handle multiple demands and competing priorities
• Advanced proficiency in spelling, punctuation, and grammar
• Computer Skills:Excellent knowledge of Microsoft Office including Word, Outlook, and Excel
