If this sounds like a fit, we’d love you to be a part of it. About the Role: We are seeking a Facilities Administrator to join our Office Services team. This role plays a key part in ensuring the smooth operation of our office environment by supporting day-to-day facilities maintenance, coordinating with external contractors, and maintaining a clean, organized, and welcoming workspace. The Facilities Administrator also manages inventory, supports office moves, and provides administrative support, including reception coverage. Your contributions will help foster a productive and positive workplace that supports the success and growth of CAAT Pension Plan. Please note: This is a full-time, on-site role at our Downtown Toronto office. Candidates should be available to work from the office Monday through Friday. As the Newest Member of our Team, You’ll: • Provide comprehensive facilities maintenance support for office premises and staff, ensuring a safe, functional, and clean environment. • Coordinate and oversee regular maintenance activities with external contractors and the landlord. • Maintain cleanliness and organization of office areas, including meeting rooms, kitchens, and workspaces. • Monitor inventory, organize stock, and order stationery and kitchen supplies. • Assist with tracking and processing facilities-related invoices. • Handle office/desk moves, including clearing vacated workstations. • Manage the service ticketing system and support meeting room and catering setups. • Serve as the primary backup for reception duties, including mail sorting, courier packages, and covering breaks and absences. • Support compliance with the Plan’s Joint Health & Safety committee and Life Safety team. To Succeed, You Bring: • A Community College diploma in Office Administration or Facilities Management, or equivalent work experience. • A minimum of three years of progressive experience in office facilities support. • Strong organizational skills, attention to detail, and the ability to manage priorities independently. • Proficiency in Microsoft Office programs, including Word, Excel, Outlook, and SharePoint. • Excellent oral and written communication skills with the ability to build instant connections with internal and external stakeholders. • A professional image with a warm, positive, and welcoming demeanor. • Strong problem-solving skills and a proactive approach to managing tasks. • Physical capability to handle tasks such as lifting up to 40–50 lbs and significant walking. • Flexibility to support a variety of office administrative tasks as needed. The target hiring salary for this position is $51,000.00 - $60,000.00. Placement within our salary range will be based on factors such as internal equity, market conditions, and the candidate’s experience, skills, and qualifications relevant to the role.
