Position: Coordinator, Digital Technology Solutions (DTS) - 16-month contract Employment Type: Contract Compensation Details • Administration 12: Salaries are based on qualifications and experience and range from $46,389 to $68,037. Location: • Export Development Canada operates in a hybrid work environment, currently requiring employees to work in the office 2 days per week. (subject to change) • This role can be performed from EDC’s headquarters in Ottawa or from one of our Community Hubs located in Montreal. Team Overview • The Digital & Technology Solutions (DTS) group under the leadership of the Chief Information Officer was established in 2023 with the mission of empowering our customers and colleagues to take on the world, by seamlessly delivering secure and reliable digital experiences. Digital & Technology Solutions has set out to achieve the following objectives for EDC: • Define, execute, and sustain the integrated technology target state, target data model and technology operations required to enable EDC’s 2030 business transformation. • Establish and manage the rolling 3 Year Digital Roadmap that sequences the technology outcomes required to achieve the technology target state and facilitate its execution across all domains in the organization. • Keep pace with industry trends and emerging technologies, ensuring EDC has access to the digital technology tools it needs to stay relevant in the market and grow Canadian global trade. • Lead and ensure integrated digital, data, infrastructure, and cybersecurity implementations to create excellent customer, user, and employee experiences. The Coordinator is primarily responsible for the support of the office of the Vice-President, Digital Delivery and Architecture. The incumbent supports the daily functions of the Vice President and their direct reports, attends meetings and records minutes, and ensures the filing of information remains relevant and up to date. The role leverages activities and provides recommendations to the leadership team and VP, as well as liaises with the group’s Senior Vice President and other executives. The Coordinator will have group budget management (reconciliation, maintenance and forecasting) responsibilities. What You Will Be Doing • Provides administrative support to the VP and their leadership team including, but not limited to, handling correspondence, managing and coordinating VP calendar and meeting agendas, supporting email management, tracking time and attendance, managing workflow, routing information, preparing documents and presentations, arranging logistics, processing inquiries, administering budgets. • Provides file, document or information storage and retrieval services including classification, organization and electronic data/Information entry or sourcing. • Manages VP’s travel scheduling and bookings. • Administers VP’s expenses and tracking. • Manages VP's group travel budget (reconciliation, maintenance, and forecasting). • Manages and coordinates Leadership meetings (including the development of agendas and materials) & minutes (Weekly, Monthly, Townhalls). • Facilitating meetings using MS Teams with a diverse group of audiences from small to very large, including sharing presentations, creating and integrating meeting polls, managing participants and break-out rooms. • Manages group SharePoint & other group-based access requests. • Prepares communications and meeting materials, including PowerPoint presentations. • Solves administrative problems and initiates improvements to administrative standards, controls and processes. • Provides support on EDC events, both internal and external. • Partners with Translation Services to submit translation requests within established guidelines. What We Are Looking For • Completion of secondary school. • Minimum 1 year of office administration experience. • Minimum 3 years of applied and varied administrative experience, including calendar management, email, budget management, purchase orders, invoices, event coordination and information management. • Advanced Microsoft Office skills including Word, Excel, PowerPoint, MS Teams, Outlook and other related programs. • Strong written and spoken communication skills with the ability to communicate effectively at all levels of the organization, including senior management. • Strong business acumen skills, self-sufficient, energetic with exceptional customer service and multi-tasking skills. • Bilingual in both official languages (French and English).
