Reception and Admin Assistant Job Description Position Overview:
We are seeking a reliable and proactive Reception to manage the front desk, provide administrative support, and help maintain a smooth and efficient office environment. The ideal candidate will be organized, have excellent communication skills, and enjoy interacting with clients and staff.
Key Responsibilities:
• Reception Duties:
• Greet and welcome visitors, clients, and employees.
• Answer, screen, and forward incoming phone calls.
• Maintain a professional and positive front desk atmosphere.
• Respond to inquiries and provide general information about the organization.
• Schedule appointments and manage meeting room bookings.
• Administrative Support:
• Handle general office duties including filing, faxing, scanning, and photocopying.
• Assist with scheduling meetings, managing calendars, and organizing events.
• Draft, proofread, and send correspondence as directed.
• Maintain office supplies and inventory.
• Assist with the preparation of reports, presentations, and documents.
• Data Entry & Filing:
• Ensure accurate and timely data entry into the company's systems.
• Organize and maintain filing systems (both electronic and physical).
• Team Collaboration:
• Support the HR and Operations team with various tasks as needed.
• Collaborate with team members to ensure smooth daily office operations.
Required Skills & Qualifications:
• Previous experience in a receptionist or administrative role preferred.
• Excellent communication and interpersonal skills.
• Strong organizational and multitasking abilities.
• Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint).
• Ability to handle confidential information with discretion.
• Basic knowledge of office equipment (e.g., printers, copiers, phones).
• Positive, professional, and approachable demeanor.
