The Senior Executive / Assistant Manager (Data & Digital Tools) plays a key role in enhancing the unit’s operational efficiency through data analytics, automation, and the development of digital tools. The incumbent will design and implement data-driven solutions, dashboards, and workflow automations that improve productivity, streamline processes, and support data-informed decision-making across the unit. Key Responsibilities: 1. Data Analytics and Dashboarding Develop, maintain, and enhance dashboards and analytics reports to support the unit’s operations, strategic planning, and performance monitoring. Collect, clean, and analyze data from multiple systems (e.g., enrolment, finance, programme management) to generate actionable insights. Present analytical findings in a clear and visually compelling manner to support management decisions. 2. Digital Tooling and Automation Design and implement digital tools and workflow automations (e.g., Power Automate, SharePoint tools, scripts) to improve efficiency and reduce manual workload. Work closely with the Centre for IT Services (CITS) and relevant stakeholders to ensure integration, data security, and compliance with university systems and standards. Develop and maintain scripts and macros (e.g., in Python, VBA, or similar) to streamline reporting and data manipulation tasks. 3. Process Streamlining and Productivity Projects Collaborate with colleagues to identify process bottlenecks and propose data-enabled or digital solutions. Support the implementation and documentation of process improvements, ensuring sustainability and user adoption. Contribute to continuous improvement initiatives and digital transformation projects within the unit. 4. Stakeholder Engagement and Support Provide user training, documentation, and technical support to staff members on dashboards, automation tools, and digital workflows. Liaise with cross-functional teams such as CITS, Finance, and HR to align tools and reports with institutional requirements. Communicate effectively with both technical and non-technical users to translate business needs into workable digital solutions. Qualifications and Requirements: A Diploma or Bachelor’s degree in Information Systems, Computer Science, Data Analytics, Engineering, or a related discipline. 2–5 years of relevant experience in analytics, automation, or digital process improvement roles. Proficiency in one or more of the following tools or languages: Dashboarding / Visualization: Power BI, Tableau, or equivalent Scripting / Automation: Python, R, Power Automate, Excel VBA, or similar Productivity Tools: SharePoint, Microsoft 365 ecosystem, Google Workspace Strong analytical and problem-solving skills, with attention to detail and data accuracy. Good understanding of data structures, workflow design, and user-centric digital tools. Ability to work independently as well as collaboratively in a fast-paced, dynamic environment.
