At Earls Kitchen + Bar, we’re looking for a Project Specialist to join our Facilities team. In this role, you’ll support the ongoing maintenance and repair needs of our restaurant portfolio, becoming the go-to expert for Operators and key stakeholders. This position is ideal for someone with technical acumen, exceptional organizational skills, and the ability to manage multiple priorities with a proactive, solutions-focused mindset.

Role Responsibilities
• Respond to reactive maintenance and repair support requests from restaurant Operators, responding promptly (within 48 hours), maintaining concise, organized email communication, setting clear timeline expectations, and only looping in Operators when their action is required.
• Log and set up new projects in Smartsheet within 24–48 hours of assignment, including key milestones and kickoff timing.
• Create and maintain project timelines and budgets weekly in Smartsheet to ensure accurate reporting and visibility.
• Oversee the execution of small to mid-scale maintenance projects related to furniture, finishes, fixtures, lighting, audio-visual, and signage, including scoping the work, acquiring quotes, seeking budget approval, procuring materials, sourcing vendors, issuing work orders, and processing payments.
• Provide vendors with detailed specs and delegate material ordering when possible, collaborating with the Design Team to re-spec any discontinued items.
• Travel to sites to ensure project success when required. This may include meetings with city inspectors, landlord management, and outside vendors.
• Collaborate with cross-functional teams, including Operations, Store Development, and external trades, to ensure seamless execution.
Qualifications
• 2–4 years of experience in facilities, construction, or design project coordination. Experience in the restaurant, retail, or hospitality sectors is an asset.
• Post-secondary education in Building Technology, Facilities Management, or a related field is considered an asset.
• Demonstrated ability to scope, manage, and close out small to mid-scale repair and maintenance projects independently.
• Proficiency in reading and interpreting architectural construction drawings.
• Comfortable using Microsoft Office, Google Workspace, Smartsheet, and/or facilities management software (FMS or CMMS).
• Strong communicator with excellent organizational skills and a proactive, detail-driven mindset.
• Collaborative attitude with a willingness to support others on the team while driving projects forward.
