Our team is vital to all Moment Factory offices, from Montreal to our various international hubs. We ensure all production and in-house tools run smoothly on a day-to-day basis. YOUR MISSION As an IT Project Coordinator, you will be the central hub of our department. Your mission will be to streamline synergy between our four teams and management. You will optimize our daily processes and tools to ensure the flawless execution of internal projects. Functions And Responsabilities2. Optimization and Documentation3. IT Team Support and CoordinationYOUR JOURNEY INCLUDES • IT Project Coordination and Management • Initiation: Actively participate in project kick-offs, including preparing conversion stages and taking strategic notes to ensure continuity of information. • IT Project Coordination: Oversee and coordinate internal IT projects by ensuring rigorous planning and constant tracking of deadlines and resources. • Tracking and Roadmap: Maintain the roadmap in Wrike, define project scopes, and lead weekly follow-up meetings. • Casting: Collaborate on resource allocation and team "casting" based on project requirements. • Standardization: Document IT processes to ensure a consistent and structured workflow. • Continuous Improvement: Identify opportunities to optimize existing workflows. • Internal Communication: Develop and share updates and best practices regarding project and stakeholder management. • Budgets: Plan, coordinate, and monitor the IT department’s budget tracking. • Procurement Cycle: Serve as the primary point of contact for technology purchases, from initial ordering to final reconciliation. • Software Assets: Oversee software license management to ensure compliance and cost optimization. • Management Support: Assist Team Leads and the IT Director with team coordination and decision-making processes. • Team Synergy: Coordinate interactions between the four IT units and organize team events to maintain a strong collaborative culture. • Proactive Approach: Act autonomously and with a "hands-on" mindset to anticipate bottlenecks and streamline operations. • Cross-Departmental Liaison: Act as the point of contact for non-IT teams for general inquiries and manage their upcoming requests. • College Diploma (DEC) or Bachelor’s degree in Communications, Project Management, Visual Arts, or a related field (relevant experience will also be considered). • 3 to 5 years of experience in a coordination or project coordination role. • Proficiency in both French and English, written and spoken (you will be communicating regularly with English-speaking clients/partners in this role). • Strong proficiency with Google Workspace tools. • Industry Context (Asset): Prior experience working in an artistic or creative environment related to Moment Factory’s core business—such as multimedia environments, audiovisual production, architecture, or live events—is considered a strong asset.
