We're seeking a dynamic Marketing & Events Coordinator to help us expand our reach and elevate our presence at conferences and events across the country. Role Overview This is not an “order-taker” role — it’s a leadership seat on a fast-growing marketing team where you will set the vision, drive execution, and measure impact for every conference, activation, and event. You’ll manage large-scale logistics, oversee creative direction, and make sure Subject shows up in unforgettable ways — from the first teaser post to the last signed deal. You’ll work closely with the Director of Brand & Marketing to ensure every event fuels pipeline, strengthens relationships, and makes Subject impossible to ignore. This role requires strategic thinking, creative vision, operational excellence, and the stamina to thrive in a high-speed, high-expectation startup. Type of Hiree We’re looking for a detail-obsessed, design-minded events and marketing coordinator to join our fast-growing marketing team. You’ll lead event logistics, coordinate cross-functional planning, and ensure that every Subject event leaves an unforgettable impression — from the first Instagram story to the final lead follow-up. This role requires a high level of energy, ownership, and initiative — if you're looking to coast or need constant direction, this won’t be the right fit. Responsibilities Event Strategy & Leadership • Own the full field marketing strategy, including conference selection, sponsorship negotiations, and activation planning. • Lead the execution of all major events, from national education conferences, internal conferences and creative event pop-ups. • Develop innovative, high-ROI experiences that capture attention and drive leads. Lead Gen & Funnel Support • Partner with Marketing/Sales leadership to design pre-event, on-site, and post-event campaigns that convert interest into revenue. • Implement best practices for lead capture, qualification, and follow-up, ensuring seamless CRM integration. • Track event ROI and continually optimize strategy based on performance data. • Support follow-up campaigns and top-of-funnel tactics to turn interest into pipeline. Design & Brand Execution • Work with internal and external designers to create high-impact collateral, signage, social graphics, and recap content. • Bring a creative eye to every touchpoint — from booth design to post-event reels. • Lead cross-functional collaboration with designers, videographers, and content creators to turn events into shareable, high-impact content. • Push creative boundaries to keep Subject ahead of the curve in event marketing trends. Team & Vendor Management • Manage external partners, agencies, and internal contributors to deliver on-time, on-budget results. • Oversee contracts, budgets, and vendor relationships. Project Management • Build and manage timelines, event calendars, and checklists to ensure nothing slips through the cracks. • Keep budgets updated, invoices processed, and ROI measured. Operational Excellence • Build and manage detailed project plans, budgets, and event calendars. • Ensure all logistics — from freight to floor plans — are flawless. • Maintain a relentless focus on execution quality and operational efficiency. Requirements • 5 years in event marketing, experiential marketing, or field marketing, with 2+ years in a leadership or senior-level role. • Proven track record of owning large-scale B2B event strategies with measurable business results. • Exceptionally organized with an eye for detail • Has a sharp eye for design and visual storytelling, with hands-on experience using tools like Adobe Creative Suite, After Effects, and Figma to create polished event collateral, social graphics, and digital assets. • Comfortable traveling up to 50% of the time • Confident juggling logistics, creative, and internal comms simultaneously • Experience with Canva, Adobe, or other design tools is a plus • CRM/event management experience (HubSpot, Salesforce, etc.) a plus • Thrives in fast-paced, high-growth environments. • Strong creative instinct and visual storytelling ability; able to direct designers and creators.
