Job Summary JOB DESCRIPTION The Software Asset Administrator is responsible for the overall software lifecycle process by maintaining records regarding licenses, warranties and service agreements for the firm’s software assets and subscriptions. The Software Asset Administrator will be called upon to provide guidance and influence decision making related to the purchase of software assets for the firm. Job Duties • Develops and/or maintains standard contract/lease requirements and language relative to the purchase of software licensing • Interprets and provides summaries and recommendations on complex licensing agreements (subscription models, perpetual models, on-premises and cloud models, etc.) • Remains up to date on industry licensing trends, and provides timely guidance as part of the purchasing and renewal processes • Reviews and makes recommendations for modifications to proposals or renewals to existing agreements/leases • Collaborates with National Purchasing in developing and obtaining quotes and purchasing approvals • Identifies possible cost savings by consolidating various licenses, where appropriate • Builds and maintains strong vendor relationships to assist with license renewals and new purchases • Receives and records new software titles, upgrades and maintenance releases • Tracks software and licensing lifecycles for all employees throughout the firm • Provides support to other IT groups to ensure accurate end user allocation, license registration and retirement records • Updates the Asset Management system, and ensures accuracy of the data • Performs inventory analysis and usage monitoring of all software assets, and reconciles between purchases and actual utilization • Provides accurate license tracking reports and license cost reports for financial reporting and budgeting to software operations management, as requested • Creates and tracks meaningful Key Performance Indicators to illustrate the condition of the firm’s software asset program (utilization, efficiency, etc.) • Other duties as required Supervisory Responsibilities • N/A Education Qualifications, Knowledge, Skills and Abilities: • Bachelor’s degree in Business, Computer Science, Information Systems or equivalent field, preferred Experience • Two (2) years of experience in maintaining an asset management system, required • Two (2) years of procurement experience such as processing purchase requisitions and managing vendor relationships, required • Prior experience working in a medium to large enterprise IT environment, preferred License/Certifications • IATAM certification, preferred Software • Experience using a Software Asset Management system within the ServiceNow application, preferred • Proficiency in the use of Microsoft Office Suites, preferred • Broad knowledge of general business applications, preferred Language • N/A Other Knowledge, Skills & Abilities • Excellent organizational skills • Ability to recognize opportunities to automate or optimize operational processes • Strong verbal and written communication skills • Excellent interpersonal and customer relations skills • Capacity to work in a deadline-driven environment while handling multiple complex projects/tasks simultaneously with a focus on details • Capable of successfully multi-task while working independently or within a group environment • Ability to rely on extensive experience and judgment to plan and accomplish goals • Capable of working well under pressure while dealing with unexpected problems in a professional manner • Capacity to communicate and interact with all levels of employees and management • Ability to interact and build relationships and consensus among people • Strong mathematical and process assessment skills in order to identify process gaps and implement necessary modifications • Knowledge of computer software licensing practices and obligations, contracts, inventory and utilization • Familiar with standard financial reporting and budgeting concepts Individual salaries that are offered to a candidate are determined after consideration of numerous factors including but not limited to the candidate’s qualifications, experience, skills, and geography.
