About the role

Working as part of our Property Division, the Real Estate Property Team is responsible for the commercial and legal management of Imperial’s property portfolio – one of the largest and most complex university estates in the UK. Through these activities, they bring important sources of revenue to Imperial and ensure that our campuses, facilities and residences continue to be among the best in the world. This in turn supports our academic community of world leaders in the provision of Engineering, Medicine, Natural Sciences, Business Management, Research and Teaching.
We are looking for an experienced administrator on a full-time, two-year fixed term contract.
You will assist the Commercial Lettings Coordinator to support the smooth operation of our mixed portfolio of property assets (predominantly key worker and build to rent accommodation), so that the standards of operation meet the requirements of the Property Division.
What you would be doing
In this role, you will coordinate tenant relations, managing lease documentation, overseeing maintenance requests, and ensuring compliance with relevant regulations. You will be organised, customer-focused, and able to manage multiple priorities in a fast-paced environment.
You will be responsible for managing and maintaining the Property Database ensuring all property related data is accurate, consistent and reliable so as to provide a complete record of all Imperial property.
The role will also involve liaising with clients, customers and stakeholders, delivering excellent communication and customer service in a timely and efficient manner, which are key elements for the role. The role will also be operational with you carrying out viewings across the portfolio, so a flexible approach to working is essential.
What we are looking for
• A’ Levels or equivalent qualification in relevant subjects, or proven relevant experience in a similar role
• Experience of using databases to store, manipulate and retrieve information
• Excellent organisational and time management skills
• Proficient in property management software and MS Office
• Attention to detail and the ability to multi-task in a fast-paced environment
• Be enthusiastic, self-motivated and an effective team player
