Job overview Kent College Dubai is seeking an enthusiastic and passionate assistant to the examinations officer and data manager to join our thriving school. Our school Kent College Dubai (KCD) opened its doors in August 2016, and in a very short space of time has established itself as a hugely successful community-centred school that is inclusive and aspiring. We are rated very good by the KHDA and outstanding by the BSO. The school takes pupils from ages 3 months to 18 years and is in the Nad al Sheba district of Dubai. Job purpose The assistant to the examinations officer and data manager supports the effective administration and delivery of all internal and external examinations within the institution. The postholder will ensure that all examination procedures are carried out in accordance with awarding body regulations and internal policies, maintaining accuracy, confidentiality and professionalism at all times. They may also be called upon to carry out other administrative tasks as required. Key responsibilities 1. Examination administration • Assist with the registration and entry of candidates for all public and internal examinations. • Maintain accurate records of candidate data, entries and results using the relevant management systems. • Liaise with awarding bodies, staff and students to ensure deadlines and requirements are met. 2. Exam preparation and delivery • Help with the timetabling and scheduling of exams in coordination with the exams manager. • Organise and prepare exam rooms in line with JCQ (or relevant regulatory body) requirements. • Ensure all necessary materials, equipment and documentation are available for each examination session. 3. Invigilation management • Assist with the recruitment, training and scheduling of invigilators. • Maintain accurate invigilator records, including availability and timesheets. • Act as an invigilator when required to ensure the smooth running of exams. 4. Post-examination duties • Support the secure collection, handling and dispatch of examination scripts. • Organise the distribution and storage of examination certificates. • Assist in the production and verification of student transcripts and other exam-related documentation. 5. General administration • Respond promptly to queries from students, staff, parents and awarding bodies. • Maintain confidentiality and data protection compliance at all times. • Undertake any other reasonable duties as directed by the exams manager and other members of SLT. Person specification Essential: • Strong administrative and organisational skills. • Excellent attention to detail and accuracy. • Ability to work under pressure and meet strict deadlines. • Proficiency in Microsoft Office (Excel, Word, Outlook) and database systems. • Strong interpersonal and communication skills. • Commitment to maintaining confidentiality and integrity. Desirable: • Experience working in an educational setting. • Knowledge of examination regulations and procedures (e.g. JCQ or equivalent). • Knowledge of iSAMS or similar management information systems. • Knowledge of SchoolsBuddy and SOCS.
