ABOUT OGAKI
OGAKI is a social-first agency specializing in social media and influencer marketing for prestige beauty brands such as Laura Mercier, Omorovicza, POV Beauty, and Jillian Dempsey.
As we scale into 2026 with major new business wins, we're looking for a Project Manager who can be the operational backbone for our team.
THE ROLE
This role is to project manage multiple concurrent beauty brand projects, ensuring seamless coordination between strategists, creatives, and clients. This isn't a "build new systems from scratch" role - we've invested in operational infrastructure (Monday.com, project charters, workflow frameworks). Your job is to learn, own, and optimize these systems while keeping the team moving in sync.
WHAT YOU'LL OWN
Your First 90 Days Focus:
System Stewardship (50% of your time)
• Learn and maintain Monday.com boards using established templates
• Follow documentation standards in Google Drive
• Shadow weekly status meetings led by leadership to learn pattern recognition
• Execute operational frameworks (project charters, workflow guidelines) with leadership coaching
• Ask great questions and absorb how OGAKI operates
Coordination (40%)
• Manage 3-5 projects with senior oversight
• Brief creatives using existing templates and brand guidelines
• Facilitate handoffs between teams with clear checklists
• Escalate change requests to leadership with your initial assessment and recommended approach
• Build relationships with team members
Learning & Development (10%)
• Develop Monday.com power user skills through practice and training
• Study client brand guidelines and past project examples
• Understand why frameworks exist, not just how to use them
• Build confidence through shadowing and supported decision-making
Your First Six Months Ownership:
System Stewardship (50% of your time)
• Independently own Monday.com as the single source of truth: maintain boards, create filtered views, enforce updates
• Proactively optimize operational frameworks based on what you've learned
• Lead weekly status meetings with leadership team (15-min pattern-spotting check-ins)
• Act as "living playbook"—the go-to reference when team asks "how do we handle X?"
• Train new team members on systems and tools
• Keep documentation current and flag when processes need updating
Cross-Functional Coordination (40%)
• Independently manage 5+ beauty brand projects with overlapping timelines and minimal oversight
• Brief and coordinate 8+ team members (designers, video editors, content creators, strategists, copywriters)
• Translate strategic direction into execution: turn client feedback and strategist concepts into clear, actionable creative briefs
• Facilitate seamless handoffs between strategy → creative → social teams
• Assess change requests using decision frameworks: evaluate scope and strategic alignment before mobilizing the team
Capacity & Resource Management (20%)
• Partner with Head of Social on team bandwidth visibility across all active projects
• Coordinate creative support: match specialists to projects based on skills, capacity, and client requirements
• Flag capacity constraints proactively before they become missed deadlines
• Maintain real-time clarity: who's working on what, when, and what's coming next
WHAT SUCCESS LOOKS LIKE
After 30 Days:
• Fully onboarded to Monday.com, Google Drive, and 3-5 client projects
• Shadowed existing workflows, met every team member and key freelancers
• Reviewed project charters and operational frameworks with leadership
• Taken ownership of 3-5 active projects with consistent coaching support
• Asked thoughtful questions that show you're learning the "why" behind the "how"
After 90 Days:
• Managing 5+ projects confidently with decreasing oversight
• Creatives report feeling well-briefed and clear on deliverables
• You're proactively updating Monday.com without reminders
• You've successfully supported 3+ major client change requests using established frameworks
• Leadership sees improvement in: communication clarity, handoff smoothness, deadline visibility
• You're anticipating problems before they're raised to you
After 6 Months:
• Managing 5+ projects independently
• Leading (not just attending) weekly status meetings with leadership
• Making confident assessment decisions on change requests, escalating only when truly strategic
• Team proactively references your Monday.com boards and documentation
• You've identified and implemented at least 2 process improvements
After 1 Year:
• You're the operational authority: team comes to you first for process questions
• Systems are maintained and evolving based on your insights
• You've mentored at least one junior coordinator or intern
• Clients and account team trust you as the "make it happen" partner
• You're ready for promotion to Senior Project Manager
MUST-HAVE QUALIFICATIONS
Experience
• 3-5 years in project/program management, with at least 2 years in creative or social media agencies
• Proven creative coordination experience: managed 3+ creatives across different specialties simultaneously
• Beauty, fashion, or lifestyle brand experience strongly preferred (we'll consider consumer packaged goods or DTC e-commerce)
• Remote team coordination: demonstrated success keeping distributed teams aligned
Technical Competencies:
• Monday.com, Asana, or similar PM tools: proficient user who can maintain boards and learn advanced features (we'll train you to power user level)
• Google Workspace fluency: Drive, Docs, Sheets, Calendar for organizational systems
• Written communication strength: Slack, email, brief writing that is clear, concise, and actionable
• Comfortable with AI tools: Willingness to learn ChatGPT, Claude, or similar for process documentation and briefing support (we'll teach you our approach)

Compensation & Benefits:
• Salary: $75k-$85k (commensurate with experience and current capability)
