Overview Founded in the Silicon Valley (USA), Glowing (Y Combinator W18) is a growing, Generative AI SaaS startup (100%+ YOY growth) providing the leading messaging platform for globally recognized brands of the world. Glowing is used by globally recognized brands (including Mandarin Oriental, Rosewood Hotels and more) in 30+ countries. While reporting and working closely with the CEO, who is presently based in Singapore, the core responsibility of this role is to take away as much tactical work from the CEO’s plate as possible in order to free CEO’s time, and guard his energy - this role is being the 3rd eye, arm and leg for the CEO. Proactiveness, trust and judgment is the foundation for this fast-paced, intense role. The ideal candidate will have at least 5 years experience as an Executive Assistant for the C-suite and/or Chief of Staff. Responsibilities Executive Assistant • Summarize meeting minutes and drive next step/actions • Manage and guide CEO’s personal and business calendars • Draft emails for CEO, from Investor Updates to customer and partner replies • As needed, represent the CEO with client, partner and/or team meetings • Unabashed to voice any issue and propose solutions • Have strong judgment, including proactively doing what CEO means (over doing what may be said) Operations • Manage weekly executive meetings • Systematize, documentize, organize our chaos • Onboarding/off-boarding team members • Assist with vendor/partner negotiations Cultural Ambassador • Pro-actively recognize, celebrate and value team members • Ensure ESAT surveys are administered recurrently and reported on • Plan and execute on culture building events that drive better ESAT and ensure leadership is taking appropriate action in constant improvement • Plan and manage end-to-end team meetings and offsites (remote and in-person), which includes assisting as needed with international travel Financial Management • Responsible for all documents (contracts, addendums, NDA’s, etc) new contracts, drafting, sending and documenting fully executed • Responsible for on-time A/R management • Expense reconciliation Core KPI is around both time and energy saved for the CEO, as well as effectiveness and speed of action. Ability to move quickly WITH quality and accuracy to match. • Ability to work autonomously, be proactive, multi-task, prioritize, organize, communicate, and function on a small, fast-moving team while executing numerous projects and tasks concurrently • Be flexible, and not be phased by constantly changing circumstances - focus on the present priorities and goals and move forward. • Optimistic and positive energy • Manages stress well, and can be a calming energy for others • Handle difficult situations and conversations well • Self-discipline, proactive, organized, empathetic, active listener • Reign in, organize, systematize chaos • Financially conscious, embracing “broke mindset” Key Experience / Skills • 5+ years experience in as an Executive Assistant for the C-suite and/or Chief of Staff • Superb ability to influence people, in-person and remotely, without authority • General presence creates a feeling of care and confidence • Excellent professional communication skills - well spoken, well written (including and especially emails, and meeting minutes) • Excellent market research skills • Experience with onboarding, hiring and human resource management • Experience servicing to a “luxury” and high discerning audiences • Familiar with travel booking hacks (ex: airfare, hotels, etc) • Confident with Google Suite (Docs, Sheets, Slides) • Comfortable with Microsoft Office Suite (mainly Word and Excel) • Exploring and using Generative AI tools • Loves the hustle of a startup environment • Experience working with distributed teams • Experience within a B2B organization • BS/MS degree • Experience within a SAAS startup is a plus • Experience with EOS and ninety.io is a plus • Experience being an EA for a executive or GM within hospitality is ideal Bottomline, this is a once-in-a-generation opportunity for an experienced, "top-shelf" EA who wants to be challenged, wants to move rapidly and desires to be part of a significant growth and global impact from the early stages, working with a world-class team on a generational opportunity.
